Chemical Analysis Quotes
Quotes in the wire frame model here::
Purpose
To issue quotes to clients – per e-mail, fax, print, and
keep the quote on the client’s home page
Published quotes cannot be edited - if further negotiations result
in more edits, the quote is copied into a new quote with new serial
number
Creating, editing, publishing and viewing
a quote
Use case
Role players - labmanager
the role player navigates to the client’s quotes page
and presses the [add analysis quote] button. messy – will
be improved
she is offered the option to compile a quote based on the AR
templates for the client already – if so she selects a template
from a pick list and presses [next]
the system show a ‘new quote’ page with the required
client details identified up to here completed already
the role player enters the expiry date for the quote
she enters an order number if supplied by client
if the client preferences indicates quotes to be e-mailed or
faxed, the role player selects which other recipients to be copied
– the system provides a default list off the database. cc
recipients receive the quote as per the preferences in their own set-ups
depending template selection or not, the role player is offered
a ‘new quote’ page with some analyses
listed already
analyses are listed with checkboxes to include or exclude them
with
prices shown are of the pricelist – taking into consideration
whether the client is a corporate or not and also applying the
discount percentage as set up for the client
the role player may overwrite the discount % and prices get recalculated
Apart form prices for quoted services, quotes show:
serial number
date
client
expiry date
order number (supplied by corporates)
‘discount applies’ if so
clients get riders
‘Additional unquoted for tests may be required’
‘Sample retention of max n days’ – n be read of the database
and maintained in the LIMS Analysis Services set-up
she adds any additional comments in a Remarks field
when satisfied, the role player presses [submit] – the
quote is now saved but not yet visible to the client on her web
page
the role player presses [publish] on the change status drop down
menu and the quote is published to the client according her publication
preferences for quotes
and to cc recipients according their quote preferences
now the quote is also visible on her home page. Published quotes
cannot be edited - if further negotiations result in more edits,
the quote is copied into a new quote with new serial number
Accepting and Performing a quote
Use case
Role players - client contact
the client contact browses to the ‘published’ quotes list and clicks on the
quote to be considered
if satisfied, she clicks on [accept] in the change status drop
down menu
the labmanager gets notified that the quote was accepted
when the samples quoted for arrive, the analysis requests for
the quote are created by clicking on [perform] in the change status
drop down menu
ARs created from a quote cannot be edited!!!
Rejecting a quote
Use case
Role players - client contact
the client contact browses to the ‘published’ quotes list and clicks on the
quote to be considered
she clicks on [reject]
the labmanager gets notified that the quote was rejected
Expiring a quote
Use case
Role players - labmanager, the system
at a set number of days before the quote expires, maintained
in the lab accounts set-up,
the system sends a warning to both client (and his cc list) as
well as the labmanager about the pending expiry
when the quote’s expiry date arrives and the client has
not accepted or rejected it, it expires
the labmanager and client gets notified that the quote has expired
